Enhance the Workforce Management - Document of Records Real Time Subject Area

The DoR Real Time Subject Area does not have many of the Dimensions that most of the other Workforce Management Subject Areas have. In particular the following:

  • Assignment Manager
  • Assignment Manager (Unsecured)
  • Department
  • Grade
  • Organization
  • Position

We use Document of Records to store details such as: DBS check; Social Work Registrations; Security Industry and NPPV Check; Driving Licence details; Sickness Management Interview details.

These are often related to particular types of Positions and in specific Teams, e.g Social Workers in Adult Social Care.

Use Case and Business Need

Example Business needs are:

Dashboard analytic to enable a Head of Service to see how many DBS checks are due to expire in the next week and drill down to identify the Positions, Team and Manager responsible.

Alert to Managers to identify employees in Positions flagged as needing Social Worker Registration details but where no SWE (HCPC) DoR details have yet been recorded in Fusion HCM.

Head Count Analytic of Drivers with HGV or PSV class Driving Licences, with Drill to Team/Manager/Position for shift rostering / spare capacity / disaster recovery scenarios.

More details

Attempts to join the DoR Subject Area with others such as the Worker Assignment Subject Area and then aggregate dashboard analytics based on Facts such as Head Count rather than Document Count (which isn't associated with the above dimensions) have proved problematic. Results are often not reliable when drilling from an aggregated view to a employee detail i.e. the aggregated table will give one figure, the drill down will give a different number of rows.

    Greater flexibility to report from DOR's and link it back to work structures will support our managers to remain compliant.

    We have similar requriements to hold clearance levels of individuals and when expiring. We have other needs for additional processes linked to Visa's etc.
